Digital Innovation Hub Oceanopolis AS ("we," "us," or "our") is committed to protecting the privacy and security of your personal data. This privacy policy explains how we collect, use, share and protect your information when you use our services.

Data controller

Digital Innovation Hub Oceanopolis AS is the data controller for all processing of personal data where we ourselves determine the purpose of processing the data and the means we use for this. In this privacy policy you can read more about the processing we are responsible for.

Information we collect

We may collect and process personal data about you in the following cases

  • Personal information about you is included in services we provide, including contact information such as name, email address, telephone number and other similar contact information
  • You are a participant in measures we deliver and communicate results from
  • Information necessary to provide the Services, including transaction details, project specifications and communication logs
  • ·        In several contexts, we take pictures/video in connection with activities that involve our activity. People who participate  the activities may be photographed, and we use such material in our external communication. The communication will, for example, include articles with images/video on our website, posts in our social media channels such as LinkedIn and Facebook, brochure material etc. The processing basis for this processing will either be your consent or, in certain cases, that the processing is necessary to safeguard a legitimate interest that outweighs consideration of the individual's interests or fundamental rights and freedoms, i.e. the Personal Protection Regulation Article 6 no. 1 letter a or f The legitimate interest is to promote our business as a national digital innovation hub.
  • ·        You have participated in a course, seminar, workshop or other event with us. When you participate in seminars, conferences, courses and continuing education initiatives, we register information such as name, e-mail, place of work, position and IP address. At events where food is to be served, we also ask questions about food preferences/food allergies or other considerations we must take into account.
  • o  Participant lists with names and other relevant information may be shared with third parties for reporting purposes. Personal data that is necessary for invoicing, statistics and reports is deleted as soon as it is no longer necessary for the purpose.
  • ·        You subscribe to the newsletter
  • o  To subscribe to our newsletter, you must provide your name and email address. The email address is used to send you newsletters via the Mailchimp service.
  • ·        You visit our website or other external websites
  • o  We use cookies to record how the visitors use the website and we collect personal data when visitors apply for admission to services and sign up for services.
  • ·        You have been in contact with us or one of our consortium partners in our national European Digital Innovation Hub Oceanopolis Oceanopolis ("EDIH"). See data processors in category 1 in the table below.
  • o  You represent a client or someone who finances our activities
  • o  You or the company you are employed in have a connection with, or are a customer of, us
  • o  You have been in contact with, or collaborate with, employees of us and our partners
  • ·        You have applied for a job with us
  • o  Job applications are kept in connection with recruitment and employment, and they are deleted no later than 6 months after the position has been filled. Applicant lists and settings are transferred to the case and archive system. If you are employed in a position with us, the application will be transferred to your personnel folder.
  • ·        You have access to IT services
  • o  Our IT platform consists of physical infrastructure, networks, PCs, configuration, data, IT services including internal and external, and more. Data traffic and activities in the IT platform are inspected and logged. This is used in troubleshooting, uncovering and documenting any legal offences, deviations from internal rules and routines or other breaches of our information security.
  • o  Logs can be handed over to external partners. This also applies to guests who connect equipment to the IT platform, typically a wireless network.
  • ·        You have access to our premises, where we log access with name, organization and telephone number
  • ·        You have received a fee or reimbursement from us
  • ·        You represent a supplier or offeror to us, or have submitted an offer to us
  • ·        You represent a customer or a funding source
  • ·        You represent the media or are a contact for premise suppliers or stakeholders
  • o  In some cases, we collect and store contact information about media representatives, premise suppliers and other relevant contact persons. We do this to streamline our contact with the media, premise suppliers and others.

How we use your information

In addition to the details in the previous chapter about information that is collected, we can convey that we use your personal data for the following purposes:

·        Provide and maintain our services.

·        Process transactions, including payments and invoices.

·        Communicate with you regarding the Services and our activity.

·        Manage and improve our services.

·        Comply with legal and regulatory requirements.

Data processors

General information about the use of Data Processors

In order to deliver our services and fulfill our purpose, we have established agreements with external resource environments that will require access to data. They can be categorized as follows:

1.      Consortium partners for our national European Digital Innovation Hub Oceanopolis who help us operate and deliver our services

2.      Collaborators for the European Digital Innovation Hub Oceanopolis who contribute funding

3.      Collaborators for the European Digital Innovation Hub Oceanopolis who contribute to joint ventures.

4.      Third-party service providers who help us operate and deliver our services.

5.      Legal and regulatory authorities as required by law.

Partners in categories 1 and 2 have written agreements that regulate information exchange and contain confidentiality statements. No data processors beyond category 1 have access to confidential information.

Within category 1, only partners who deliver concrete services are given access to confidential data.

Data on the service delivery and the associated digital maturity test are available to partners in category 1 and the European Commission and Innovation Norway in category 2.

Any consultants who are suppliers in categories 3 and 4, who have access to data belonging to Digital Innovation Hub Oceanopolis in connection with service deliveries, must enter into a data processing agreement and each individual consultant must sign a personal confidentiality statement. You may reserve the right to reject the use of external consultants for service deliveries.
